Privacy Policy
Trace (tracepm.app) is a project-management app for remodeling companies, built and run by Jared Linde. This page explains what information Trace collects, how it is used, and the choices you have.
Information Trace keeps
- Your account: name, username, email address, and a securely hashed password. Trace never stores your password itself.
- Your company's job data: projects, tasks, schedules, budgets, contractors, and files your company adds or brings in from JobTread.
- Basic security records: sign-in codes, trusted-device records, and an activity log of changes.
Google account data (Gmail and Drive)
Connecting Gmail is optional. You choose to connect it in Settings > Connections. When you do, Trace uses:
- Read Gmail (gmail.readonly): Trace looks at emails in your inbox that have attachments, to find job paperwork such as permits, drawings, and delivery confirmations, and files it to the right job's Files tab. Trace also reads your Gmail signature so emails you send from Trace include it.
- Send Gmail (gmail.send): Trace sends an email from your address only when you press send in Trace, for example a scope of work to a contractor.
- Read Google Drive (drive.readonly): when an email links to a Drive file, Trace downloads that file so it can be filed to the job.
What Trace stores from Gmail: the files it files to jobs, and a short record of each attachment it looked at (file name, sender, subject, date received, and where it was filed or why it was skipped). Trace does not store the text of your emails.
AI processing: to decide which job an attachment belongs to, Trace sends the email and the attachment to Anthropic's Claude API. Anthropic processes it to answer Trace and does not use it to train its models.
Limited Use: Trace's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google data is used only to provide the features above to you. It is never sold, never used for advertising, never used to train AI models, and never read by people except when you ask for help, when needed for security, or when the law requires it.
How information is used
Only to run Trace for your company: showing your jobs, sending sign-in codes and notifications, filing paperwork, and keeping the service secure. Trace does not sell personal information or show ads.
Services Trace relies on
These companies store or process data on Trace's behalf, only to run the service:
- Railway (hosting), Neon (database), and Cloudflare (file storage and backups)
- Resend (sending Trace's email)
- Anthropic (AI features, as described above)
- Google and JobTread, when you or your company connect them
Security
Data is sent over encrypted connections. Your Google and JobTread connection keys are stored encrypted, and files are kept in private storage that only signed-in members of your company can reach.
Your choices
- Disconnect Gmail any time in Settings > Connections, or remove Trace at myaccount.google.com/permissions. Trace then stops reading your mail.
- To have your account or data deleted, email trace.notifications@gmail.com. Files already filed to a job belong to your company's records, and your company can remove them.
Changes
If this policy changes, the date at the top changes too. Big changes will be announced in Trace.
